The Fleet & Shop Tracker is the operational map for Enviromatic’s commercial-kitchen-exhaust-cleaning business. In one view it shows:
Work order data is pulled automatically every 4 hours from Striven by a background bot — you don’t normally have to upload anything by hand. The map and sidebar update on every page refresh. To keep the map fast, unscheduled job pins only load for the area you are looking at, so pan or zoom to see the rest.
Who should use it: dispatchers, ops managers, anyone planning routes or tracking which crews are where.
Your session lasts 12 hours. When it expires you’ll be sent back to the login page. To sign out manually, click Sign Out in the top-right corner of the header.
Changing your password: click your name in the top-right and choose Change Password. You need to enter your current password to confirm.
Online users: the row of colored circles near the top-right header shows everyone currently active in the app (active within the last 5 minutes). Hover a circle to see the user’s name.
Two main areas:
Header bar (top):
Sidebar tabs: Dashboard · Shops · Jobs · Scheduled · Overdue · Overdue with Keys · Trucks · Audit (admin) · Users (admin).
Keyboard shortcuts: press 1–9 when not typing to jump to a tab. Press Escape to close any modal or the sidebar.
Mobile: the sidebar opens full-screen. Tap × to close. The app is installable as a home-screen icon (Share → Add to Home Screen on iPhone, three-dot menu → Install on Android) for one-tap launch.
Your home screen. Five summary cards at top:
Click any card to jump straight to that tab.
Below the cards, the Recent Activity feed shows the latest actions taken by all users (uploads, edits, deletes) with timestamps and usernames.
Pin colors and shapes — what each one means:
Click any pin to open a popup with the location name, address, due date with time, budgeted hours, and any Striven labels.
Multiple work orders at one location: when a site has several work orders (e.g. an Outback with four open jobs), the map shows a single pin with a small count badge instead of stacking identical pins on top of each other. Clicking it lists all the work orders at that spot in one popup.
Layer controls (top-right corner of the map):
Zoom controls (top-left of map):
State filter: use the state checkboxes (in the sidebar) to hide pins for states you’re not currently working on. The map updates instantly. Useful when you’re planning routes for one region.
Shops are Enviromatic’s own dispatch hubs — the regional offices crews launch out of. Trucks get color-coded by which shop they’re assigned to.
To add a shop manually:
To import from Excel: click ↑ Import Excel. Required columns: Name, Address, Color (Color is optional). File must be .xlsx.
To download a blank template: click ↓ Template.
To export: click ↓ Export to download all shops as Excel.
To edit / delete: click the pencil or trash icons next to any shop. Deleting a shop also unassigns any trucks attached to it.
Search bar: filter by name or address.
Jobs are the customer kitchens you service. Most jobs already exist in the database from past work; new ones get added automatically when Striven exports them.
To add a job manually: use the Add Job form at the bottom of the tab. Name, address, color (defaults to green), then Add Job.
Import / export / template / edit / delete work the same as Shops.
Status badges next to job names:
Search bar: filter by name or address.
Click any job in the list to fly the map to it.
These are the three work-order buckets pulled from Striven. Each tab is the same idea, just a different bucket:
How the data gets here: The Striven Sync bot logs into viro.striven.com every 4 hours, exports the three custom reports (“Sam’s Work Order Audit — Scheduled, Not Marked Done”, “Sam’s Overdue Jobs”, “Sam’s Overdue Jobs with Keys”), and uploads them. You don’t need to do this manually.
To force an immediate refresh: click ↻ Update Now in the header. The bot pulls all three reports (takes ~30–60 seconds) and the button tells you the result: ✓ Updated when it worked, or ⚠ Blocked (Cloudflare) if the Striven login needs re-authorizing.
To upload manually (rare — only if the bot is down): click ↑ Upload Schedule in the tab and pick the .xlsx file you exported from Striven.
Reading the sidebar rows: each row shows
Click any row to fly the map to that pin and open its popup.
Multiple work orders at one address are combined into a single row showing the location name, address, and an “N jobs” badge with a ► arrow. Click that row to expand it and see each individual work order (with its own Start/Due/days-overdue chips); click any one to jump to it on the map. So a store with four open jobs shows as one tidy “Store — 4 jobs” row instead of four separate lines.
Entries are grouped by US state, sorted alphabetically, with the most-overdue locations first. Use the search bar at the top of each tab to filter, or the States tab to hide states you’re not working.
The Trucks tab and the truck pins on the map show live vehicle positions straight from Enviromatic’s GPS feed. Position refreshes every 10 seconds automatically, but only while the tab is open and visible. A tab in the background stops refreshing, so switch back to it to get current positions. The header shows Trucks updated with the time of the last refresh.
To assign a truck to a shop:
On the map: trucks are circles showing the truck number. A pulsing green ring means the truck is currently driving (speed ≥ 5 mph). Click a truck for the full popup: vehicle name, assigned shop, current address, speed, heading, last update.
Manual refresh: click ↻ Refresh Vehicles in the Trucks tab.
All imports require .xlsx (not .csv or .xls).
Shops and Jobs imports:
Scheduled / Overdue / Overdue-with-keys imports (manual fallback):
What happens after an upload: the server tries to match each row to an existing job (by Striven Number, then name, then address), reuses that job’s coordinates for the pin if matched, and geocodes the address otherwise. Rows that can’t be matched and can’t be geocoded stay in the sidebar but get no pin on the map.
The Audit tab (visible only to admins) shows a chronological log of every change anyone has made in the app:
The audit log shows the most recent 100 actions for performance. It’s append-only — admins can’t edit or delete entries.
The Users tab (admin only) is where you manage who can sign in.
Roles:
To add a user: fill in Full Name, Email, Username, Password (min 6 characters), and Role, then click Add User. A welcome email is sent to the new user.
To edit a user: pencil icon — change name, email, username, or role.
To reset someone’s password: lock icon (admins skip the “current password” check that users see on their own).
To delete a user: trash icon, then confirm. They’ll lose access immediately.
The map or list looks stale / didn’t change after an update. Work-order data only loads when the page opens — it doesn’t refresh on its own. After an Update Now (or if a tab has been open a while), hard-reload to pull the latest: Cmd+Shift+R on Mac, Ctrl+F5 on Windows.
⚠ Update Now says “Blocked (Cloudflare)”. Striven’s login sits behind a Cloudflare bot-check, and the sync’s saved session is trusted for ~30 days at a time. When it lapses the bot can’t get in until it’s re-authorized (a quick one-time code entry). Contact Sam to refresh it; in the meantime data can be uploaded manually via ↑ Upload Schedule.
I can’t find a store / a location seems to be missing from the list. First check the States tab — if that state’s box is unchecked, its locations are hidden on both the map and the lists. Also make sure you’ve hard-reloaded. Remember multiple jobs at one address are folded into a single “N jobs” row — click it to expand.
A scheduled / overdue entry has no pin on the map. Its address couldn’t be located. Most addresses resolve automatically now; the stubborn ones are usually rural “County Rd” addresses or ones with typos. Fix the address in Striven (add the city, drop “Suite” numbers, include the state + ZIP) and run ↻ Update Now.
Start/Due chips show the date but no time. The Striven custom report for that bucket isn’t configured with date+time fields. Edit the report in Striven and change the Start Date / Due Date column format to include time.
The Scheduled tab shows region names (“Kansas City”, “Gulf Coast”) with no map pins. The Scheduled report in Striven is grouping by project/region and isn’t outputting store addresses. Point it at a store-level report that includes a Customer Address column.
I can’t sign in. Use the “forgot password” flow (or ask an admin to reset it from the Users tab).
Anything else weird: hard-reload first. If the issue persists, contact Sam.
